Every figure on this page is worked out from the inputs you enter, by the method stated below it. Lanyardo publishes no venue directory, no speaker list and no industry cost per head: the defaults are a worked example to replace with your own numbers, and the delegate count is always yours.
The figures above start from a worked example (373). Change any input and the answer updates as you type.

A conference badge order is the last thing printed and the first thing every delegate sees, and the arithmetic is short: delegates, speakers and staff, plus a spare for walk-ups and misspellings, gives the badges to print; badges per sheet gives the sheets; lanyards per pack gives the packs; and the unit costs give the total and the cost per delegate. This worksheet works all of it from what you type, because the order placed a week out from a list that grows until the day is the one that runs short at the registration desk.
Count everyone who walks through the door, not just delegates
Speakers, sponsors' staff, exhibitors, volunteers, the AV crew and the press all wear a badge, and none of them is on the ticket list. The worksheet takes them as their own lines so the print run is the real one, and the conference name badge for a speaker is usually a different colour, which is a second print job with the same arithmetic.
Sheets and packs round up, and the rounding is the spare
Three hundred and seventy badges at six a sheet is sixty-two sheets, and the worksheet adds one so the last sheet is never short; lanyards in packs of fifty round the same way. The spare percentage on top of that is for the day itself: reprints for the name spelt wrong, walk-ups and the badge left in the hotel.
Cost per delegate is what the budget line should carry
Badge and lanyard cost divided by delegates, not by badges, is the per head figure for the budget template, because the speakers' and staff badges are a cost the paying delegates carry. On the worked example it is a few dollars a head, and it is the line most first-time organisers forget entirely.
Conference badge and conference name badge order: common questions
Should badges be printed before or on the day?
Both. Print the confirmed list a few days out so the desk is not a bottleneck, and print walk-ups and corrections on the day from the spare stock. The worksheet's spare is the stock for the day.
What goes on a conference badge?
The delegate's name in large type, their organisation smaller, the event name and dates, and a colour or a band for the ticket type. Nothing else needs to be readable from across a room. A QR code for session scanning is common and adds nothing to the print count.
Does this save the order anywhere?
Not on its own. The worksheet computes in your browser and sends nothing anywhere. Lanyardo Pro sizes the order from the live delegate list and prints the badge sheet under your event name.
