Every figure on this page is worked out from the inputs you enter, by the method stated below it. Lanyardo publishes no venue directory, no speaker list and no industry cost per head: the defaults are a worked example to replace with your own numbers, and the delegate count is always yours.

Conference booking software is sold on a registration page and lives or dies on four ordinary jobs. It has to take a booking against a capacity, so the plenary is never oversold and the workshop with forty seats closes at forty. It has to hold the price tiers and the deadlines, early bird, full and late, and move between them on the date without anyone editing a page. It has to know who has paid, who is complimentary and who is a speaker, because the badge printer and the caterer both need that list. And it has to hand the list back out, whole, to whatever prints the badges and reconciles the money. Everything else the category advertises is built on those four, and a product that does any of them badly costs more than its per ticket fee. This page is written for the organiser choosing what the event registers on, and it stays vendor neutral.

Fix the capacity before the booking page exists

Sellable capacity is the plenary seats less complimentary places for speakers, sponsors and staff, and every workshop has its own. A booking system that does not hold both numbers oversells the workshop long before the plenary is full. The conference planner template on this site works the sellable capacity and the breakout share so those figures exist before the page does.

Set the tiers and the dates, then leave them alone

Early bird, full and late prices with the dates they switch, and the complimentary codes for speakers and sponsors. The system should move between tiers on the date without a person editing the page at midnight, and it should report how many sold at each tier so the blended price in the budget can be checked against reality.

Insist on the list coming back out, whole

Names as typed, organisation, ticket type, paid or complimentary, dietary and access needs, in one export, on demand. That list is the badge print run, the catering count and the finance reconciliation, and a system that returns it as a report rather than as data has kept the most valuable thing the event produces.

Will it do what you need for Conference booking software?

Tell us what your conference needs and we will tell you straight whether Lanyardo Pro does it today, whether it is coming, or whether you need a registration platform or an agency rather than software. A person reads these and replies.

Conference booking software: common questions

Why will you not just tell us which conference booking software is best?

Because we sell one product and it is not a booking system, so our ranking would carry a conflict either way. What we can do is tell you the four jobs, what to make every vendor show you on your own capacity and tiers, and how to check the export, which is what this page does.

Does Lanyardo take bookings?

No. Lanyardo keeps the delegate list, the sessions, the speakers and the budget, and works the capacity and the badge order from them; the booking and the payment happen on your registration platform or through your own invoicing. The list is imported or typed, not sold.

How much should a small conference expect to pay for booking software?

Most platforms in this category charge per paid ticket, as a percentage, a fixed fee or both, so the cost is a share of ticket income rather than a subscription. Work it as a per head cost in the budget template on this site against your ticket price, because that is where it lands.
