Conference management systems are sold as one platform for the whole event and are, underneath, five records that have to agree: the programme with its slots, the speakers with their confirmations, the delegates with their tickets, the rooms with their capacities, and the budget with its lines. Conference management is the work of keeping those five in step as the date approaches, and a system earns its place by making a change in one show up in the others: a speaker withdraws and the slot goes empty, a workshop room changes and its capacity moves, a sponsor signs and the budget closes. This page is written for the organiser deciding whether the spreadsheets have reached the point where they have to become one system: the five records, what goes wrong between them, the honest cost of moving, and where the free tools on this site fit before that point.

Count the records before you count the features
Programme, speakers, delegates, rooms, budget. If they live in five files owned by three people and the programme on the website disagrees with the one in the room, the event is doing the system's work by hand. If they are two files that reconcile, the system is a purchase for a later edition and the money is better spent on the AV.
Make every vendor show the change propagating
On the demo, withdraw a speaker and watch the programme slot, the badge and the running order. Change a room and watch the capacity and the bookings against it. Add a sponsor and watch the budget. A system that shows those three on its own data has solved conference management; one that shows a dashboard has solved reporting.
Price the migration, not the licence
The licence is the smaller half. The larger half is getting last edition's speakers, delegates and programme in, the weeks of two systems running side by side, and the export terms at the end. Ask what the setup costs, what it includes, and what leaves with you if you leave, before you compare the monthly figures.

Conference management systems: common questions
Is a conference management system the same as an event app?
No. The app is the delegate's window on the programme; the system is the organiser's record behind it. Many vendors sell both, and the app is only as good as the programme record it reads. Judge the record first.
Does Lanyardo replace a conference management system?
For a single conference with one organiser and a small team, often, because it keeps the sessions, speakers, delegates and budget against the event and works the programme, badges and budget from them. It does not sell tickets, stream, or run an exhibitor floor, and an event that needs those needs the suite.
What should we insist on seeing in a demo?
A speaker withdrawal propagating to the programme and the badge list, a room change propagating to capacity, a sponsor propagating to the budget, and a full export of your own data. Whichever one is answered with a roadmap is the one that will hurt.
